The real cost of quoting late
Picture this: a potential client requests a quote from three companies on Monday morning. You reply on Wednesday with an impeccable document. By then, company A has already sent something the same Monday, spoken to them by phone on Tuesday and has a follow-up meeting on Thursday.
Your quote arrives in an inbox where the decision is almost made. You can be better, cheaper and more professional, but you're late to the game.

That state doesn't last. The buyer's life goes on: other projects come up, urgencies arise, priorities change. Every hour that passes without a reply, the level of activation drops. The 4 reasons small businesses quote slowly
It's not a lack of willingness. Most businesses that quote late do so for structural reasons that have a solution.
1. The quoting process is manual and from scratch
Each quote is built by hand: open Word or Excel, find last time's template, copy the items, look up prices in your email or from memory, calculate the VAT by hand, export to PDF, attach it to the email. A simple quote can take 45 minutes. A complex one, hours.
When the salesperson has three other urgent things in the day, the quote becomes "when I can". And "when I can" arrives on Wednesday.
2. Prices aren't centralised or up to date

If your average right now is 3-5 days, you're not competing on the same terms as someone who responds in 2 hours. Even if your product is better.
The thought experiment of the three competitors
Think about the last time a potential client asked you for a quote. They probably also asked two or three competitors.
Now imagine one of those competitors has a process to respond in 90 minutes, with a well-presented document and a personalised message. What cumulative advantage do they have over you if you take 3 days?

How to reduce quoting time: a practical plan
There's no magic here. There's process. These are the concrete changes with the biggest impact.
Step 1: Build an up-to-date price catalogue

Step 2: Create templates by service or product type
